Here are some common questions business owners ask about payroll services.

How do payroll services work?

Payroll companies transfer money out of a business’s designated bank account to any appropriate parties. Employers are required to pay wages to their employees. They’re also required to withhold the right amount of taxes from each employee so it can be used to pay taxes to local, state, and federal governments. Companies are required to pay employment taxes at the state and national (and sometimes local) level in addition to filing tax reports every quarter. If you choose to outsource your payroll to another company, they will take care of those tax obligations on your behalf.

What’s the best frequency for paying my employees?

It’s up to you to decide on a payment schedule that works for your business model. Employees are usually happiest when they get paid weekly and is often seen as an additional perk for people in the workforce. Retail, construction, and skilled labor companies tend to pay their employees weekly more than many other industries. The only downside to this type of pay schedule is that it costs more than other pay frequencies.

Government agencies and educational institutions will typically pay on a monthly basis, but it’s usually not preferred by employees because they have to wait so long to get paid. It can be a great budgeting tool for employees, because they can pay all their expenses at once and not have to worry about any financial obligations for the rest of the month.

What’s the difference between bi-weekly and semi-monthly payroll?

Bi-weekly payroll processing is the most common way for businesses to pay their employees. Having a direct deposit every other Friday is very common and will give employees 26 paycheck dates in a year. It also costs less than weekly payroll, because there aren’t as many fund transfers taking place.

Semi-monthly payroll works great for companies that pay regular commissions or tend to have a lag in funds from vendors and bureaucratic organizations. Paying on the 1st and 15th of every month is common, but other pay schedules (such as check dates on the 4th and 18th) can be used as well. This type of payroll processing happens 24 times a year, but there are a couple of times in the year when employees will earn more because some months will have more working days.

What tax reports need to be filed for payroll processing?

The payroll liabilities for any business will include federal, local, and state taxes. But the specific tax obligations that your company is subject to will depend on where you and your employees are located (which aren’t always in the same place). Each state will have an unemployment insurance tax that a payroll services provider will pay every quarter on your behalf. The provider will also file the following tax forms:

– Form 940
– Form 941
– Form W-3
– Form 1096
– Form 1099

All of these forms will be filed by the payroll services company on a regular basis.

What are some valuable payroll terms I should know?

Some payroll terms that are good for business owners to know include:

Deductions — Wages that are withheld from an employee’s earnings for the purpose of paying taxes, benefits, as well as other mandatory items or voluntary contributions.
Gross pay — Total pay before taxes and deductions.
Net pay — Take-home pay after taxes and deductions (which are subtracted from earnings).
Compensation — All monetary and non-monetary payments (including benefits) that the employee receives.
Pay stub — A document that lists all the factors (such as the number of hours worked, the rates paid for those hours, as well as deductions and benefits) that were used to calculate an employee’s pay for a specific period.
